When to Schedule a Visit to a PA DOC Facility: Explaining the Advance-Notice Window

PA DOC visits have to be scheduled ahead of time, and there's a cap on how far out you can book. The tricky part? PA DOC pages don't all describe the advance-notice requirement the same way, so building in a little buffer helps.

PA DOC's visitation guidance lays out two timing rules: you have to schedule visits in advance, and you can't book more than 60 days out. On the PA DOC service page about accessing the Inmate Visitation System (IVS), the language says visits must be set up at least two days in advance through IVS. That same 60-day cap applies.

The IVS login page uses similar "schedule ahead" wording and repeats the 60-day limit, but it lists a different minimum lead time. On IVS, the language says visits must be scheduled at least three days in advance (still no more than 60 days out). If you're trying to pick a date close to today, that two-day versus three-day difference can mean the difference between getting a timeslot and getting blocked from scheduling.

Note: PA DOC's service page lists a 2-day advance scheduling requirement, while the IVS login page lists 3 days. Plan with that mismatch in mind so you don't accidentally pick a date that's too soon.

When the guidance doesn't line up, the best thing you can do is pay attention to what IVS actually tells you about your visit. The system sends automatic email notifications when something changes, including status updates tied to your account or your scheduled visit. Treat the email connected to your IVS account as your paper trail, especially for confirmations, cancellations, or updates.

  1. Call the facility before you travel. If you are scheduling close to the minimum notice window, a quick confirmation can save you a wasted trip.
  2. Email Central Office if you can’t get a clear answer. For IVS-related questions, you can email the PA DOC Central Office at ra-crdocinmatevss@pa.gov.

Tip: Since one DOC page says 2 days and another says 3, I'd recommend giving yourself at least 2 to 3 full days of lead time when picking a visit date.

Practical Scheduling Checklist

  • Create an IVS account (IVS uses Keystone Login to verify your identity).
  • Make sure you are on the inmate’s authorized visitor list before you try to schedule.
  • Schedule within the allowed booking window. Visits must be scheduled in advance and cannot be booked more than 60 days ahead.
  • Build in enough notice. DOC guidance conflicts on whether the minimum is 2 days or 3 days, so aim for at least 2 to 3 days in advance.

After you schedule, keep an eye on your email for automatic IVS notifications about changes to your account or visit. If something gets cancelled or you're unsure what the system will allow based on timing, contact the facility directly. You can also email the DOC Central Office at ra-crdocinmatevss@pa.gov for help with IVS questions.
