At RYOCF, visits must be scheduled at least 48 hours in advance but no more than two weeks out. You can't book for tomorrow, and you can't reserve a spot months ahead. Slots fill on a first-come, first-served basis - so the earlier you check within that two-week window, the better your odds of landing the time you want.

Note: You'll need an ICSolutions (ICS) account with your unique Party ID to schedule visits. The person in DOC care (PIOC) gives you this ID from their visiting list - RYOCF staff can't help with Party ID questions. Contact ICS support directly if you run into issues.

RYOCF requires a 60-minute gap between contacts. Video calls and in-person visits scheduled through ICSolutions must start at least an hour after your previous visit or call ends. This prevents back-to-back scheduling - if you have something on the books, leave a full hour before scheduling the next one.

  1. Look at when your last visit/call ends - the 60-minute clock starts at the end time.
  2. Add 60 minutes - that’s the earliest your next in-person visit or video call can start.
  3. Book the next slot at or after that time in ICSolutions - for example, if a visit ends at 10:00, the next allowed start time is 11:00.

Practical Tips

  • Check for openings as soon as your preferred date falls within the two-week scheduling window (you can’t schedule earlier than that).
  • Move quickly when you see a slot you want - visits are first-come, first-served.

If your first-choice time is taken, don't waste time refreshing for that one slot. Have a couple of backup options ready. Since scheduling is first-come, first-served, grabbing an available time often beats waiting for a specific one.

  • If multiple family members are trying to schedule visits/video calls around the same time, stagger them so each one starts at least 60 minutes after the previous visit/call ends.

Good to know: RYOCF allows unlimited video calls per week, but you still have to schedule them in ICSolutions and follow the 60-minute spacing rule.

  1. Double-check your timing - make sure you’re trying within the allowed window (no less than 48 hours out and no more than two weeks out).
  2. Check for spacing conflicts - if you already have a visit or call scheduled, confirm the next one starts at least 60 minutes after the previous one ends.
  3. Contact ICSolutions customer service - if the system won’t let you schedule or you’re seeing errors, use ICS customer service for help with the platform.
  4. Use the Party ID support channel if that’s the issue - Party ID problems need to go through the provided Party ID support guidance.

If scheduling keeps failing, double-check your Party ID first. You get this from the PIOC's visiting list - it's shown next to your name - and you need it linked to your ICS account for in-person or video visits. RYOCF staff can't help with Party ID questions, so reach out to ICS support directly.
