Legal Mail vs. Regular Mail at Duffield: What Goes Where

Duffield uses two different mailing routes, and they don't work the same way. Regular personal mail goes through Smart Communications for scanning. Legal mail and money orders go directly to the Duffield facility address so they're handled correctly.

Legal Mail vs. Regular Mail at Duffield: What Goes Where

At Duffield, where you send mail matters just as much as what you send. Since January 1, 2021, all regular inmate postal mail goes through Smart Communications at P.O. Box 9113, Seminole, FL 33775. Address it with the facility name plus the inmate's name and ID number. Smart Communications handles scanning for Southwest Virginia Regional Jail facilities and supports inmate communications through housing-unit kiosks and tablets. Got a mail-processing question? Their customer support number is 1-888-253-5178.

Reminder: For regular mail, the inmate’s full name and ID number must be clearly printed on the outside of the envelope or postcard. If it’s missing, the mail will be returned to the sender.

Legal mail gets handled differently than personal letters - but only if it's identified correctly. Mark the envelope "Legal" clearly. This typically includes correspondence from an attorney, a court, the Department of Corrections, or the Parole Board. That "Legal" marking tells staff to route it through the legal-mail pathway instead of the regular scanned-mail system.

  • Attorney mail marked “Legal”
  • Court correspondence marked “Legal”
  • Department of Corrections correspondence marked “Legal”
  • Parole Board correspondence marked “Legal”
Legal Mail vs. Regular Mail at Duffield: What Goes Where

Legal mail goes directly to Duffield's facility address - not the Smart Communications P.O. Box. Use this format: Duffield Facility INMATE NAME P.O. Box 367 Duffield, VA 24244 Sending from a law office or court? Format the address block exactly like this to keep the item on the right track.

  • Mail money orders for Duffield inmates to: Duffield Facility, INMATE NAME, P.O. Box 367, Duffield, VA 24244
  • Send money orders only (no personal checks)
  • Make sure the sender’s name, return address, and the inmate’s ID number are on the money order
  • Plan ahead: money orders must arrive at least one business day before commissary for the funds to be available

Note: Legal mail and money orders go to Duffield's facility address (P.O. Box 367), not the Smart Communications P.O. Box. Regular mail sent through Smart Communications gets scanned, so use the facility address when you need legal or money-order handling.

Regular mail for Duffield - postcards, letters, greeting cards - doesn't arrive at the jail as paper. Smart Communications scans it, then destroys the original. That's standard for the regular-mail pathway. Don't send anything you need physically preserved (like original documents) as regular mail.

  1. Send personal letters to Smart Communications (Duffield) - Address regular mail to Smart Communications, P.O. Box 9113, Seminole, FL 33775, and include the facility name plus the inmate’s full name and ID number on the outside.
  2. Expect regular mail to be scanned - Postcards, letters, greeting cards, and other regular mailed items are scanned into the system and the originals are destroyed.
  3. Use the Duffield facility address for legal mail and money orders - Legal correspondence and money orders should go to Duffield Facility, INMATE NAME, P.O. Box 367, Duffield, VA 24244 so they aren’t routed as regular scanned mail.
