First, you'll need a Party ID. The person you're visiting will give you this number - ask them for it. You'll enter it when setting up your ICSolutions account.

WCI uses ICSolutions for all visit requests, both in-person and video. You'll need to create an account and be on the approved visitor list before you can schedule anything. Approval isn't optional - it's part of the process.

  1. Get your Party ID from the person you want to visit - you can’t complete registration without it.
  2. Create your ICSolutions account - register through the ICSolutions website using the Party ID.
  3. Schedule your visit inside the allowed window - visits can be scheduled up to 14 days in advance, but not less than 48 hours before the time you want.
  4. Use ICSolutions for all scheduling - both the request and the scheduling happen through ICSolutions, not through the institution.

Note: Video visits must be scheduled through ICSolutions. WCI staff can't schedule them for you.

When your video visit starts, ICSolutions will ask you to electronically acknowledge the visiting rules. Budget an extra minute or two for this, especially your first time.

WCI lists its video visits as 50 minutes long. That’s the standard session length you should expect when you schedule.

Here's where things get confusing: the fee guidance doesn't line up. WCI's visiting information says people in WCI care get two video visits per month (50 minutes each). A WCI memorandum dated July 29, 2025 says two video visits per month are free, with additional visits costing $5.00 at scheduling. Meanwhile, a DOC-wide document describes something different entirely - one free visit per week, with extra visits at $2.50 for 25 minutes. These can't all be current. Check the pricing in ICSolutions before you schedule.

Before you pay: Confirm the current free-visit allowance and pricing inside ICSolutions. If you're still unsure, call DOC or WCI directly. WCI materials say "two free per month, then $5 each." DOC-wide guidance says "one free per week, then $2.50 for 25 minutes."

If your visit requires payment, you'll pay through ICSolutions during scheduling. Only Visa or Mastercard credit/debit cards are accepted - other card types won't work.

  1. Start with ICSolutions support for account problems - if you can’t create your account or log in, use ICSolutions customer service first.
  2. Email the DOC video visit support address if scheduling still won’t work - if you’ve registered but you’re unable to schedule a visit, email DOCDAIElectronicVisitSupport@wisconsin.gov and describe the problem.
