How Cibola's Digital Mail Works: Timeline, What Happens to Originals, and How Inmates See Mail
At Cibola (under ADCRR), "digital mail" means your regular paper mail gets scanned at a central location and delivered electronically. Your loved one typically views it on their secure tablet or through an electronic kiosk set up for mail access.
Securus, ADCRR's contracted partner for digital mail, says it takes all reasonable steps to process, scan, and make mail available within three business days of receiving it. That said, three days is a goal, not a guarantee. If timing matters, plan for the possibility of delays.
Need help with delayed digital mail? Securus Customer Service is available 24/7 at (800) 844-6591.
Once your letter is scanned into the digital system, the original hardcopy doesn't go to the inmate. ADCRR's contracted provider stores the originals for 90 days, then professionally disposes of them.
- ✓ Include a self-addressed, stamped envelope (SASE) in your correspondence if you want the original physical mail returned after scanning.
- ✓ Make sure the return envelope is addressed clearly to you and has enough postage for the original items you are sending.
- ✓ Put the SASE inside the mail you are sending, so it is available when the original is handled after scanning.
No tablet? Your loved one can still get their mail. ADCRR provides access through an electronic kiosk, or the mail gets printed as a black-and-white copy for them to view.
After release from ADCRR custody, your loved one can still access their digitized mail for a limited time. They'll receive instructions and login credentials for a secure public website where they can download everything for up to 90 days. After that window closes, the files are deleted.
Tips
- ✓ If you want originals back, include a self-addressed, stamped envelope with your correspondence so it can be returned after scanning.
- ✓ Remember the originals are stored for 90 days, then professionally disposed of. If you need to keep something long-term, plan for that.
- ✓ Address your return envelope clearly and completely so it is easy to send back.
- ✓ If a letter includes anything you cannot replace (photos, handwritten keepsakes), consider keeping a copy for yourself first.
- Give it three business days - Securus’ stated goal is to process, scan, and make mail available within three business days of receipt.
- Call Securus Customer Service - If it has been longer than that, contact support at (800) 844-6591 (available 24/7).
- Follow up through normal facility channels if needed - If support cannot resolve it, ask the facility for the next step based on your loved one’s situation.
