How to send mail to someone at Miami County Jail (what changes with digital scanning)
Miami County Jail uses a digital mail process. Your letter goes to a scanning center—not directly to the jail—which affects what gets accepted and what comes back to you.
Personal mail for Miami County Jail goes to the ICSolutions Digital Mail Center first, not the jail itself. If your letter meets the jail's requirements, it gets scanned and made available digitally. The person you're writing to views it on a tablet or kiosk through the eMessaging or DMC app. What they receive is usually a digital version of what you sent. Some items may also get printed and delivered. Before you mail anything, ask yourself: Can this be scanned clearly? Does it follow the jail's rules?
- ✓ Pictures and drawings can be accepted for scanning, as long as they meet the jail’s requirements.
- ✓ Miami County Jail may have additional rules about what types of mail can and cannot be scanned, so check with the jail if you’re not sure whether something will be allowed.
Note: The Digital Mail Center may decide mail can’t be scanned either before or after it’s opened. If it can’t be scanned, it will be returned to the sender.
Miami County Jail requires personal mail to be addressed exactly as specified. If the envelope format is off, the mail won't move forward. Include your return name and address on the outside of the envelope. Skip this step, and your letter comes right back to you.
- Decide whether you need the original back - if you want your original letter, photo, or drawing returned after it’s scanned, you have to plan for that up front.
- Include a self-addressed stamped envelope - add a self-addressed envelope with sufficient postage inside your mailing.
- Don’t skip the postage - if you don’t include a self-addressed envelope with enough postage, the item will be discarded instead of returned.
Rejections and Packages
- ✓ Pictures, drawings, or other paper larger than 8.5 x 11 inches won’t be accepted for scanning.
- ✓ Non-paper items won’t be accepted for scanning.
- ✓ Packages aren’t accepted and will be returned to the sender.
- ✓ Certified mail isn’t accepted and will be returned to the sender.
- ✓ Checks aren’t accepted and will be returned to the sender.
- ✓ Money orders aren’t accepted and will be returned to the sender.
If something can't be scanned, the Digital Mail Center flags it and sends it back - sometimes before opening it, sometimes after. When you're sending photos or handwritten notes, staying within scan-friendly limits helps avoid delays. The jail may have additional rules beyond the basics. If you're mailing anything unusual, check with the facility first. Saves you time and keeps your mail from bouncing back.
