Sending Mail to Miami County Jail: How Their Digital Mail Scanning System Works
Want to write someone at Miami County Jail? Here's the key thing: all personal mail goes through a digital scanning system. What you send—and how you send it—makes a real difference.
Miami County Jail routes incoming mail through the ICSolutions Digital Mail Center. Your letter arrives there first. If it meets the jail's requirements, staff scan it and make it available to the person you're writing through the eMessaging or DMC applications on inmate tablets and kiosks. You're mailing a physical piece of paper, but they'll read it on a screen.
Note: The Digital Mail Center may decide that a piece of mail can’t be scanned either before or after it’s opened.
Paper size trips up a lot of senders. Anything larger than 8.5 x 11 inches won't be accepted. Photos and drawings can make it through as long as they meet requirements, but non-paper items are a no-go. Stick to scannable paper only.
One more big restriction: the facility no longer accepts publications of any kind. Books, magazines, and similar items won't make it through the mail process.
If the Digital Mail Center can't scan your mail, they'll return it. This decision can happen before or after the envelope is opened - a sealed envelope doesn't guarantee anything. If you're sending something you'd want back, plan accordingly. Some items may end up discarded depending on what's inside.
- ✓ Include a self-addressed stamped envelope with sufficient postage if you want an item returned after it’s scanned (without one, the mail may be discarded).
Always include a return name and address on the envelope. If your mail isn't properly addressed, it gets sent back. Make it easy for staff to return it to you if something goes wrong.
Some types of mail aren’t accepted at all through this process. Packages, certified mail, checks, and money orders are not accepted and will be returned to the sender.
Sender Checklist
- ✓ Put your return name and address on the envelope so it doesn’t get sent back for improper addressing.
- ✓ Keep everything on paper no larger than 8.5 x 11 inches.
- ✓ Skip non-paper items entirely - send paper only.
- ✓ If you want something returned after scanning, include a self-addressed stamped envelope with sufficient postage (otherwise it may be discarded).
- ✓ Send legal mail directly to the facility (Miami County Jails will continue to accept legal mail addressed directly to the facility).
Once your letter reaches the ICSolutions Digital Mail Center and passes Miami County Jail's requirements, it's scanned and available for your loved one to view on tablets or kiosks. Keep it simple: standard paper, 8.5 x 11 inches or smaller, properly addressed. That gives your mail the best shot at getting through without delays.
